Compensation: $17.00 to $18.00 hourly

An established financial services firm is currently seeking skilled Operations Specialist to join their team! The nature of the work is varied and includes such things as setting up client meetings, copying, scanning, mailing, filing, drafting of correspondence, preparation of Excel spreadsheets for various analyses and tracking purposes, data entry, and information gathering and organizing. In addition, as a member of the Administration Team, the Senior Administrative Assistant is responsible for backing up general administrative functions within the office when necessary. These duties include but are not limited to aiding in downloading and/or scanning client documents and covering the phone/front desk when necessary.

How you will make a difference:

– Assist Team Leader with scheduling, travel, expenses, client billing & project related items

– Assist Team Members with expense reports, travel and project related items

– Assist with and booking, set up, etc. for client meetings for all key service line members

– Prepare and process correspondence to clients and outside agencies, vendors and advisors

– Collect, track, maintain and distribute various business metrics as directed

– Reviews overall structure of client files (electronic and paper) on a regular basis

– Copy, scan and save various client and firm documents when needed

– Other administrative duties as assigned

Job Requirements:


– Bachelor’s degree is highly preferred.

– Knowledge of Microsoft Office applications: Word, Excel and PowerPoint. Experience with electronic filing systems is preferred and Adobe Acrobat

– Demonstrated ability to follow detailed direction.

– Must be detail oriented with a high degree of accuracy

– Impeccable ability to maintain confidentiality

– Excellent organizational skills

– A self-starter who takes responsibility for their work.

– Must be a team player who will thrive in a small company environment

– Ability to set priorities among a variety of tasks and an occasionally heavy volume of work

– Strong communication skills; must be comfortable communicating with all levels of employees
